1. General

Info

The Campaigns module is used for planning and coordinating marketing activities. Records from the Leads, Contacts and Organizations modules can be added as participants to a campaign. A mass email or a serial letter (PDF file) can then be sent to the selected recipients.

Example – Product Launch Campaign via Email

For the launch of a new product, a campaign of type Email is created. All relevant contacts and leads are added as participants. Using the New Email action, a mass email is created with a suitable email template and sent to all participants.

Example – Direct Mailing via Serial Letter

For a direct mailing campaign, selected organizations are added as participants to the campaign. Using a PDF template, a serial letter is generated and exported as a PDF file, which is then used for postal dispatch.

2. List View

The list view in the Campaigns module has the usual functionalities of a list view. For more detailed information, see the section Structure/Layout – List View.

4. Practical Examples

1 – Product Launch Campaign via Mass Email

A company launches a new product and wants to inform all relevant existing customers and qualified leads. A new campaign of type Email is created in the Campaigns module, a Campaign Name is assigned and an Expected Closing Date is set. Budget and revenue fields are maintained for later evaluation.

All relevant contacts and leads are then added as participants to the campaign. Via the module-specific action New Email, the email editor is opened. A suitable email template is loaded, the content is customized and the email is sent as a mass email to all campaign participants. The sent emails are automatically linked to the campaign and are viewable for the team in the Emails module.

2 – Direct Mailing via Serial Letter to Selected Organizations

For a postal direct mailing campaign, selected existing customers are to receive a personalized letter. In the Campaigns module, a new campaign is created and the corresponding organizations are added as participants.

Using a stored PDF template with placeholders for company name, address and contact person, a serial letter is generated and exported as a PDF file. The exported file contains an individually populated letter for each organization and can be used directly for postal dispatch or as a print template. Campaign progress is tracked via the Expected Closing Date and the status.

3 – Campaign to Reactivate Inactive Contacts

The marketing team wants to reactivate contacts who have had no interaction with the company for over a year. Via the Reports module, a report is first created that filters all contacts by their last interaction date. The filtered contacts are then added as participants to a new Reactivation 2026 campaign.

Via the New Email action, a personalized reactivation email is created using an email template and sent as a mass email to all participants. Budget and expected revenue of the campaign are maintained to enable an evaluation of campaign performance after completion.

5. Frequently Asked Questions

Which record types can be added as campaign participants?

Records from the Leads, Contacts and Organizations modules can be added as participants to a campaign.

Can I also use a campaign for postal dispatch?

Yes. Using a PDF template with appropriate placeholders, a serial letter can be generated and exported as a PDF file. The exported file is suitable as a print template for postal dispatch to all campaign participants.

How is a mass email sent to campaign participants?

In the detail view of the campaign, the module-specific action New Email is available. This opens the email editor where a template can be loaded, the content customized and the email sent as a mass email to all participants. A configured email inbox is required.

What are the "Budget" and "Expected Revenue" fields in a campaign used for?

These fields serve for internal planning and performance measurement of a campaign. They enable a comparison between planned effort and actual results achieved and can be used as a basis for campaign evaluations in reports.

Can emails sent via a campaign be viewed afterwards?

Yes. Emails sent via a campaign are automatically linked to the campaign and are viewable in the Emails module for the entire team – provided the appropriate permissions are in place.

Is there a way to track the progress of a campaign?

Campaign progress can be tracked via the Expected Closing Date, the status as well as the linked emails and participants. For a detailed evaluation – e.g., on open rates and click rates – it is recommended to use the Email Marketing module in combination with a supported email marketing provider.
