1. General
The Language Editor serves several important purposes:
- Multilingual support: The Language Editor allows the brainX system to be offered in various languages. This is especially important for companies that operate internationally or serve customers from different language regions.
- Content customization: Texts, labels and messages can be adapted to ensure they are understandable and appealing to the respective target audience. This can increase usability and customer satisfaction.
- Terminology consistency: By using a Language Editor, companies can ensure that the terminology used is consistent across all communication channels, contributing to a professional appearance.
- Custom translations: Specific terms or phrases can be adapted for users to ensure they match local conditions or the company's language.
- Improved user experience: A well-designed Language Editor helps ensure that all users, regardless of their language, can use the system effectively, increasing acceptance and efficiency.

In the Language Editor, field names can be customized separately for each language to suit your own needs.
Which language is used in brainX can be set individually by each user in My Preferences - User Settings - Account.

The list view of translations is divided into three columns:
- Key → Display of the system-internal key of the names/labels
- German (system default) → Display of the German translation of the key
- Language → Selection and display of language; direct editing of translations is possible in this column
In addition, various actions are available for selecting, searching and editing languages.
2. Languages
Five languages are available in brainX:
- German (system default)
- English
- French
- Italian
- Spanish
At all places in the brainX system where languages can be selected, all five languages are always available. Individual languages cannot be deactivated in the Language Editor.
3. Actions
3.1. Select Language
To change the displayed language, click on the right column in the table. A different language can now be selected in the context menu.

3.2. Component
A "Component" is a system-internal thematic grouping of words/terms/phrases.
Selecting a component provides the ability to search for names that are grouped thematically.
After clicking the "Component" button, a flyout window opens with a list of all components.

Due to the number of available components, it is advisable to perform a search using the search field.

3.3. Search
The "Search" input field is – due to the number of translations – an important tool.

After entering a search term in the "Search" field and pressing the Enter key, all search results are displayed.
3.4. Edit
Individual names can be changed directly in all languages without switching completely to a different language.

After selecting the language, the name can now be changed. The save process is triggered by clicking "outside" the input field.
3.5. Replace
After clicking the "Replace" button, the "Search and Replace" sidebar opens.

After entering a search term in the "Search" field and pressing the Enter key, all search results are displayed.
Field names can now be changed step by step individually, or all at once.
In the example, the name "Organisation" should be renamed to "Company" in the language "English".

Using the "Gear" button, you can specify whether to search only for whole words, or whether to search all names – as part of a whole word/term/phrase.

If the "Whole word only" checkbox is not checked, a search for "Organisation" will also display the name "Organisations" as a match.
If the name "Organisation" were then renamed to "Company", "Organisations" would be renamed to "Companys", which would not be correct.
Before renaming using "Replace" or "Replace All", the search results should always be checked beforehand to avoid unwanted changes.
4. Practical Examples
1 – Renaming "Organization" to "Company" across the entire system
A company uses the term Company internally instead of Organization. Using the Replace function, the term "Organization" is entered in the Search field and the Enter key is pressed. "Company" is entered in the Replace With field. Before clicking Replace All, the Whole Word Only option is activated to prevent "Organizations" from being incorrectly renamed to "Companys". The results are reviewed in the preview and confirmed with Replace All.
2 – Adapting industry-specific terms for a tax consultancy
A tax consultancy wants to refer to the Deals module internally as Mandates. In the language editor, the language English is selected in the right column. The search is used to look for "Deal". Each result is clicked individually and the term is changed directly in the input field to "Mandate". The change is saved by clicking outside the input field. Once complete, the module appears under the new name for all English-language users.
3 – Standardizing English system texts for international employees
An internationally operating company wants to align certain English system labels. In the language editor, English is selected in the right column. The Component button is used to search for and filter the relevant thematic group. The desired entries are edited directly in the table. Users who have selected English as their system language in their settings will see the updated texts immediately after their next login.
5. Frequently Asked Questions
Do changes in the language editor affect all users?
Yes — changes apply system-wide to all users who have the corresponding language set in their user settings. It is not possible to make adjustments on a per-user basis.
Can I disable individual languages so users cannot select them?
No. All five available languages (German, English, French, Italian, Spanish) are always available for selection. Selectively disabling individual languages is not possible in the language editor.
What is the difference between "Search" and "Replace"?
Search filters the list view to matching entries and allows individual fields to be edited manually. Replace additionally enables automatic renaming of all matches at once — either one by one or using Replace All. For renaming a term across many locations simultaneously, Replace is the more efficient method.
What is a "Component" in the language editor?
A component is an internal thematic grouping of labels. The component selection allows the list view to be narrowed down to a specific area — for example, all labels in the Contacts module — making it easier to find the entries you are looking for.
Are changes made in the language editor overwritten during the next Confluence export?
No. The language editor modifies system texts directly within brainX — these are independent of the handbook content and are not affected by handbook export or import processes.
