Company Information
1. General
The Company Information section contains all settings specific to a client. This is where integrations, modules, and system behavior are configured per client.
2. Clients
A client (German: Mandant) in brainX represents an independent organizational unit within the system. Each client has its own data, settings, and configurations that are separate from other clients.
Clients can be created, edited, and deleted in the Company Information section. Each client can be assigned its own:
- Company information and address
- Integrations (e.g., DATEV, SalesViewer, DocuSign)
- Billing settings
- Email settings
- User rights and permissions
2.1. Creating a Client
To create a new client, click the New Client button. A form opens in which the client's basic data can be entered.
2.2. Editing a Client
To edit an existing client, select the client and make the desired changes in the respective setting sections.
2.3. Deleting a Client
A client can only be deleted if it has no active users or linked data records. To delete a client, click the corresponding action in the client settings.
2.4. Client Rights Management
When two or more clients are created in brainX, configuring the rights management (Roles and Profiles) is a very important point in order to define access to modules and records.
The following prerequisites must be met in order to make full use of the multi-client capability:
- The Roles must be structured in such a way that a client can be defined via a role (and its subordinate roles).
- To achieve a consistent separation of data between individual companies, all modules should be set to “private” in Global Settings - Global Rights Assignment.
Structure of the role tree for client separation
For the separation of data between clients to work reliably, the role tree must already be structured accordingly during setup:
- A dedicated role is created at the top level for each client (e.g. "Client A", "Client B"). These roles must not have a common superordinate role – a superordinate role automatically sees all records of its subordinate roles, so a common parent role would cancel out the client separation again.
- All client-internal roles (e.g. Sales, Support, Accounting) are created as subordinate roles beneath the respective client role.
- Since roles on the same level do not display any records to one another, the client areas are thereby automatically isolated from each other, as long as no additional, user-defined visibility rules are created.

When a record is opened for which permissions exist only in a specific client, it is possible to switch directly to that client.
