1. General

Info

The Digital Assistant integrates ChatGPT (OpenAI) into brainX. The AI assistant can be used for writing, editing, and translating texts, as well as for individual queries.

Warning

When using the Digital Assistant, texts or data from brainX are transmitted to OpenAI servers for processing. Please observe the applicable data protection regulations and do not transmit any sensitive personal data to the AI.

2. Configuration

2.1. API Key

To use the Digital Assistant, an OpenAI API key is required:

  1. Create an OpenAI account at platform.openai.com
  2. Generate an API key under API Keys
  3. Enter the API key in the Digital Assistant settings in brainX

2.2. Language Model

The following OpenAI language models are available:

2.3. Follow-Up Questions

The Allow follow-up questions setting controls whether the user can continue a conversation with the assistant in subsequent messages. When enabled, the conversation history is sent along with each new request.

3. Usage

3.1. Chat (User Menu)

The Digital Assistant can be accessed via the user menu (top right, person icon) → Digital Assistant. A chat window opens in which queries can be entered freely.

The conversation history is available within a session. After the session ends, the chat history is reset.

3.2. Editor Integration

In all text editors in brainX (e.g., email editor, offer texts, notes), the Digital Assistant can be accessed via the AI icon in the toolbar. The following actions are available:

4. Examples

Example 1: Proofreading an Offer Text

  1. Open an offer and navigate to the text block
  2. Select the text to be checked
  3. Click the AI icon → Proofread
  4. Review the suggestion and apply or discard it

Example 2: Translate an Email

  1. Compose an email in the email editor
  2. Select the entire text
  3. Click the AI icon → Translate → Select target language
  4. The translated text replaces the original text

Example 3: Custom Prompt

  1. Select text in the editor
  2. Click the AI icon → Custom Prompt
  3. Enter an instruction, e.g.: "Formulate this text more formally"
  4. Apply or discard the result

5. FAQ

Q: Which data is transmitted to OpenAI?

A: The selected text or the entered query is transmitted to OpenAI. No other brainX data is automatically transmitted.

Q: Can the API key be used by multiple clients?

A: No, the API key is configured per client. Each client requires its own OpenAI API key.

Q: What are the costs for using the API?

A: Costs depend on usage (number of tokens). Information about current pricing can be found in the OpenAI pricing overview.
